Create an API Token

Find Locations in Heartland

In Heartland, go to Settings and click Locations.  Some stores have multiple Locations, use this list to fill out the next question.

Map Heartland Locations to Locally Location ID

For the Locally feed to work, the location IDs in Heartland need to be mapped to the location IDs in Locally.  In the field below, please provide the Heartland Location # and the Locally Location ID in this format: Heartland Location # - Locally ID.  If you only have one location, you may leave it blank.

UPCs

In Heartland, UPC is often the same as item #, but you may store UPC in a different field.  UPC is a common custom field that is created and used for this purpose.  Locally REQUIRES us to submit the item UPC in order to properly identify your products.  If you do not have valid UPCs, we will not be able to successfully set up a Locally feed.

Filtering Out Items

If you would like to filter out certain items, like Discontinued items, Brands, Categories, etc, please describe below.  We can filter things on custom fields as well as Heartland-generated fields.  An example of a custom field could be "Sell on Locally."  If the field is marked true we would send inventory data through.

Would you like Current Price to be sent to Locally? If you select no, prices will not be updated in the Locally Inventory Feed.
I acknowledge that the data submitted to Locally will be based on inventory and prices as stored in Heartland Retail. Ready Set Retail is not responsible for the accuracy of that data.

We use an FTP connection to communicate with Locally.  Please contact your Locally rep or Locally support to get this information.

You will need to provide RSR with an API token that we will use in order to securely access your account. API tokens are created within Heartland Retail by a logged in user. The user who creates the API Token must have the following permissions in order for the Locally feed to function properly. Note that you can use ANY user with these permissions, but it may make sense to create a separate user for security purposes.

View current inventory levels
View ending inventory values

Manage items and grids
View inventory current values

ADMIN/SETTINGS
Manage locations, stations, and cash drawers

In addition to the permissions above, the user must also have rights to access the locations that you will be publishing to Locally. Or, you can enable all locations for the user. 

Once you have signed in to Heartland Retail as a user that has the above permissions, please create your token:

1. Hover over the name of the signed-in user at the top right of the page, then click on "My Account". 
2. Click on "API Tokens".
3. Click the “Generate new token” button. This will bring you to the “New API Token” page.
4. Type in a description for the API Token. It can be anything, but we recommend "RSR Locally".
5. Click the “Generate Token” button.
6. The API Token will appear. Be sure to copy your new API token now. You won’t be able to see it again.
7. Click the “Done” button.
8. Enter the Token in the form below.
